Getting started

PRO811Tracker tracks and organizes your 811 locate tickets in one place — statuses, utility responses, expiration dates, and a map of every dig site. It works for utility and excavation contractors of any size.

PRO811Tracker is an independent tool. It is not affiliated with any state 811 system. You still create, renew, and respond to locate tickets through your official state 811 center — PRO811Tracker keeps track of them for you afterward.

Creating your account

  1. On the PRO811Tracker home page, pick your state and fill in the trial form — name, email, and company name. No credit card is required.
  2. Open the verification email and click the activation link. The link is valid for 7 days. If it expires or never arrives, submit the signup form again with the same email — a new link is sent.
  3. Confirm your company name and 811 state, and optionally invite teammates. Your 30-day free trial starts here.

After setup you land on the ticket list. On desktop, a short tour points out the sync button, the map, the ticket list, and the status filter. Returning users sign in at /login.

Adding your tickets

You add a ticket by its ticket number — the number your state 811 system assigned when the ticket was created. In supported states, PRO811Tracker then fills in the rest automatically (see How auto-sync works).

  • Quick add (desktop). Click Add ticket on the ticket list, type or paste the ticket number in the new row, and press Enter, Tab, or click away. The row saves quietly like a spreadsheet; State and ticket details stay blank until Sync.
  • Form (desktop). Open the list's overflow menu (⋯) and choose New ticket (form) to enter the ticket number and an optional project and address. The unsaved ticket number is kept as a draft if you close the form.
  • Phone. Tap the + button on the ticket list. The same form opens as a bottom sheet with the same validation as desktop.
  • Bulk (desktop). Import a CSV file, or paste rows directly from a spreadsheet.

Ticket number formats

  • Michigan (MISS DIG 811): 13 digits, for example 2026061801498, with an optional revision suffix such as -000.
  • Ohio (OUPS): either the current all-digits format (6 or more digits, optional -000 revision suffix) or the older format of one letter followed by 9 digits, for example A604002274.
  • New Mexico (observed ticket pattern): based on confirmed public-portal samples, two digits, NV, then six digits. Illustrative example: 00NV000000.
  • Other states: any format is accepted.

Projects are optional. You can type any project name on a ticket, or create projects under the Projects page and link tickets to them — useful for grouping tickets by job.

How auto-sync works

In supported states, PRO811Tracker looks your ticket number up on the state 811 system and pulls in the details: dig site address, dates, work description, and each utility's response. It keeps re-checking your tickets automatically — roughly every 15 minutes — so responses and status changes show up in your list without anyone refreshing.

You can also run a sync on demand with the Sync button. Running sync requires the sync permission (admins have it by default).

For a ticket to auto-sync

  • The ticket must have a state, and that state must have auto-sync (see States we cover).
  • The ticket number must match what the state 811 system has on file — a typo shows up as Not found after the lookup.
  • Your trial must be active or your subscription paid. When a trial ends, auto-sync pauses; manual tracking keeps working.

A brand-new ticket that no utility has responded to yet syncs as Pending with "No response" listed for each utility — that is normal, not an error.

What the statuses mean

Ticket statuses and their meanings
StatusMeaning
NewJust added. It has not been matched against the 811 system yet.
PendingAt least one utility has not responded clear yet — or no responses have been posted at all. Do not dig on a pending ticket.
ClearEvery utility on the ticket has responded clear or marked.
Clear w/ exceptionAll utilities responded, but at least one response carries a condition or exception. Read the response before digging.
ExpiredThe ticket is past its expiration date from the 811 system. PRO811Tracker checks expiration daily, even between syncs. Renew through your state 811 system.
Not foundThe state 811 system had no record of this ticket number. Check the number and the state, correct the ticket, and sync again.
CanceledCanceled — either by you in PRO811Tracker or on the 811 system. A canceled ticket stays canceled through later syncs until you restore it.

Each ticket also lists the individual utility responses behind the status. The ticket status always reflects the most urgent condition: expired outranks pending, pending outranks clear.

Notifications

  • Expiration reminders — admins are notified in PRO811Tracker before a ticket expires (7 days ahead by default, adjustable in the Locates settings).
  • Start-date reminders — a notification on the work start date when utility responses are still outstanding.
  • Status changes — an in-app notification when a sync changes a ticket's status.

States we cover

  • Auto-sync live: New Mexico (New Mexico 811), Alabama (AL811), Tennessee (Tennessee 811), and Texas (Texas811).
  • Auto-sync coming soon: Michigan (MISS DIG 811), Ohio (OUPS), West Virginia (WV811), and Missouri (MO811).
  • Waitlist: Florida, Georgia, Idaho, Illinois, Indiana, and Virginia. Signing up from your state's page puts you on the list for automation when it launches there.

Manual tracking works in every state. In any state you can add tickets, set statuses, attach documents, see everything on the map, and get expiration reminders — auto-sync is the only per-state feature.

Your team & roles

Every plan — including the trial — has unlimited team members. Invite teammates during setup, or later from the Users page (admins). Each invitee receives an email with a link to set their password.

  • Admin — full access: tickets, sync, company settings, users and permissions, billing. The person who created the account is an admin.
  • Manager — creates and manages tickets. Can run sync when granted the sync permission.
  • Standard user — access is set by their role's permissions. Invited teammates start as standard users; admins adjust what they can see and do under Company Settings → Roles & Permissions.

Ticket permissions are enforced everywhere: viewing the ticket list, creating and editing tickets, and running sync are each separate permissions an admin can grant per role.

Trial, billing & canceling

Every account starts with a 30-day free trial — full features, no credit card. A banner appears when the trial is in its last week.

The paid plan is $99/month flat: unlimited tickets, unlimited team members, auto-sync in supported states, and manual tracking in every state. To upgrade, an admin opens Company Settings → Billing → Upgrade now and completes checkout by card.

If the trial ends without upgrading

  • Auto-sync pauses. Tickets stop refreshing from the 811 system.
  • Manual tracking keeps working. You can still sign in, add and edit tickets, and use the map.
  • Nothing is deleted. Upgrading at any point resumes auto-sync on your existing tickets.

Canceling

An admin cancels from Company Settings → Billing → Manage billing. When a canceled subscription ends, app access is paused until you resubscribe; your data is retained. For billing questions or refund requests, email support@pro811tracker.com.

A reminder that matters when digging: PRO811Tracker is an independent tracking tool, not a substitute for your state 811 system. Always confirm ticket state and utility responses with the official 811 record before excavation.
